Refund Policy

This Refund Policy applies to all strategic planning workshop engagements with Mindpanel Hub Consulting Co., Ltd. Specific terms may also appear in your written proposal.

Deposit and payment structure

A 40% deposit confirms your workshop date. The remaining 60% is invoiced upon delivery of the outcomes document, due within ten business days.

Cancellation by client

More than 21 days before the workshop: Full deposit refund minus a TWD 5,000 administrative fee.

14–21 days before the workshop: 50% of the deposit is refunded. The remaining 50% covers preparation work already completed, including pre-workshop interviews and agenda development.

Fewer than 14 days before the workshop: The deposit is non-refundable. If preparation materials have been printed and shipped, those costs are also non-refundable.

After the workshop has begun: No refund is available for any portion of the fee. If you end a session early, the full agreed fee remains due.

Rescheduling

You may reschedule once without penalty if we receive written notice at least 21 days before the original date. Rescheduling requests with 14–21 days’ notice incur a TWD 8,000 rescheduling fee. Requests with fewer than 14 days’ notice are treated as cancellations (deposit forfeited) with a new deposit required for the new date.

Cancellation by Mindpanel Hub Consulting

If we must cancel due to facilitator illness or unforeseen circumstances, you may choose a full refund of all amounts paid or rescheduling to the next available date at no additional cost.

No-shows

If your team does not attend a confirmed workshop and does not provide cancellation notice, the full workshop fee is due. No refund applies.

Work already started

If you cancel after pre-workshop interviews have been conducted and a custom agenda has been delivered, the non-refundable portion reflects the preparation time invested, regardless of the cancellation timeline above.

Purchased materials

Printed workbooks, wall charts, and other physical materials prepared for your workshop are non-refundable once produced. If cancellation occurs before materials are printed, no materials charge applies.

Partial attendance

If fewer participants attend than contracted, the workshop fee remains as agreed. We do not reduce fees for partial team attendance unless agreed in writing before the session.

Refund process

Approved refunds are processed within 14 business days to the original payment method. Bank transfer refunds within Taiwan are processed in TWD.

Non-refundable items

The following are never refundable:

• Administrative fees stated above
• Materials already printed or shipped
• Preparation work completed for late cancellations
• Travel expenses incurred by our facilitator for on-site workshops

Disputes

If you believe a refund is warranted outside these terms, contact info@mindpanelhub.click with your proposal reference number. We review each case individually and respond within five business days.
